FULL PERFORMANCE KNOWLEDGES, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS:
The work involves performing a variety of clerical duties and serving as the primary information provider in the Buffalo & Erie County Public Library. The incumbent greets the general public and staff and directs inquiries to appropriate staff as well as performing routine clerical tasks. Work is performed under the general supervision of a higher-ranking professional employee. Supervision is not a function of this position. Does related work as required.
TYPICAL WORK ACTIVITIES:
Receives walk-in guests and answers telephone inquiries;
Provides basic information and directs guests and callers to appropriate staff personnel;
Performs badge processing including, not limited to taking pictures, assigning parking and building access and
correcting payments;
Opens, dates, sorts and distributes mail;
Types records, reports and other correspondence using a variety of information sources;
Performs file searches and pulls needed materials;
Receives requests for verification of employment and researches required information; replies to verification inquiries
and distributes responses to proper parties;
Files and maintains records, reports and other correspondence; checks for clerical accuracy and completeness;
Inputs and retrieves information using various computer applications;
Collects fees for employee badges, lockers, copies and other sources and accounts for monies received;
Maintains neatness in reception area;
Maintains and updates bulletin boards;
Assists in performing tasks related to on-boarding for new hires as required;
Assists in compiling data and statistics from various sources for special projects as required.
FULL PERFORMANCE KNOWLEDGE, SKILLS, ABILITIES AND PERSONAL CHARACTERISTICS:
Good knowledge of office terminology, procedures and equipment; good knowledge of English grammar; clerical aptitude; skill in using an alphanumeric keyboard; ability to receive visitors, answer inquiries and direct them to proper person; ability to type routine correspondence; ability to meet the public and get along well with others; ability to understand and follow oral and written instructions; ability to use Microsoft Office applications, including Word and Excel; tact; courtesy; good judgment; confidentiality; dependability; initiative; capable of performing the essential functions of the position with or without reasonable accommodation
MINIMUM QUALIFICATIONS:
A. Graduation from a regionally accredited or New York State registered college or university with an Associate’s Degree and two (2) years of clerical experience, one (1) year of which included personnel work; or
B. Graduation from high school or possession of a high school equivalency diploma and three (3) years of clerical experience, one (1) year of which included personnel work.
NOTE 1: Personnel work is defined as duties performed in the areas of recruitment, screening, selection procedures, employee services, maintaining employee personnel and employment records.
NOTE 2: Verifiable part-time and/or volunteer experience will be pro-rated toward meeting full-time experience requirements.
SHIFT: 8:00 AM - 4:00 PM
