Distinguishing Features of the Class
The work involves serving at a reception desk of a County department, institution, clinic or agency receiving and directing callers and performing routine clerical tasks. Work is performed under the supervision of an administrative, technical or clerical employee of higher rank. Responsible for receiving clients, patients, officials and the general public in person or on the phone, referring them to the proper staff member, and maintaining related records and files. Does related work as required.
Typical Work Activities
- Greets callers and directs them to the appropriate staff member, section or department, initiating a routine slip where necessary;
- Maintains files on clients, patients or other callers and ensures that files and records are readily available for staff usage;
- Maintains neatness in the reception room and keeps up bulletin boards;
- Performs routine typing, including letters, case histories, minutes and file records;
- Maintains a log of appointments;
- Receives and distributes incoming messages, packages and mail;
- Operates a small department switchboard;
- Refers telephone calls to proper staff personnel for answer;
- Maintains time and attendance records;
- Performs routine data entry;

Ability to create and maintain Excel documents.
Minimum Qualifications
Graduation from high school or possession of a high school equivalency diploma and supplemented by one (1) year of office experience which included public contact.
Special Requirements
Applicants for designated positions in the Department of Social Services that may have access to federal tax information to perform his/her job duties shall be subject to a suitability background check investigation, including FBI fingerprinting, local law enforcement check, and verification check of citizenship/residency. A criminal record does not necessarily disqualify applicants from employment, rather an individualized determination will be made. The cost of the background check will be assumed by the Department of Social Services.
NOTE: Verifiable part-time and/or volunteer experience will be pro-rated toward meeting full-time experience requirements.
NOTE: Preference will be given for any Veteran applicants.
Criminal Background Check
In accordance with New York State law, a criminal background check may be conducted after a conditional offer of employment has been made. A prior conviction will not automatically disqualify a candidate from employment, unless required by law or directly related to the duties of the position. Remote Work Eligibility (Optional)
- This position is not eligible for remote work under any circumstances. The duties of this role require full-time, on-site presence.
